Payment and refund policy

At East Harling Dental Care, we believe in transparent, fair pricing and clear communication about all treatment costs. This policy explains how payments are handled and under what circumstances refunds may be issued.
1. Payment Terms
Payment is due at the time of treatment, unless otherwise agreed in advance.
We accept most major debit and credit cards, as well as cash payments.
For certain treatments, such as complex or cosmetic procedures, a deposit may be required to secure your appointment. The amount will be discussed and confirmed with you before booking.
2. Deposits and Cancellations
We ask for at least 48 hours’ notice if you need to cancel or reschedule an appointment.
• Appointments cancelled with less than 48 hours’ notice may result in the loss of your deposit or a late cancellation fee.
• Missed appointments without notice may also incur a fee, which must be settled before any further appointments can be booked.
Deposits help us manage our schedule efficiently and ensure availability for patients who need urgent care.
3. Treatment Plans and Estimates
Before starting any treatment, we will provide you with a treatment plan and estimate outlining the likely costs.
If additional treatment becomes necessary, this will always be discussed with you before proceeding.
Estimates are valid for 90 days from the date provided.
4. Refunds
Refunds are considered on a case-by-case basis and are only issued where:
• You have paid in advance for treatment that has not yet been carried out.
• You are medically unable to complete a course of treatment and provide appropriate evidence.
• An administrative or billing error has occurred on our part.
Refunds are not available for:
• Completed treatment or services where clinical time has been spent.
• Missed or late-cancelled appointments.
• Failure to follow post-treatment advice leading to unsatisfactory outcomes.
All approved refunds will be made to the original payment method and may take up to 10 working days to process.
5. Dental Plans and Insurance
If you are a member of a dental plan or using dental insurance, please note that your coverage, benefits, and reimbursement are determined by your plan provider. We are happy to assist with documentation but cannot guarantee payment from third-party providers.
6. Queries and Disputes
If you have any questions or concerns about a payment, please contact our reception team as soon as possible. We will review your case promptly and aim to resolve any issues fairly.
